For one of our clients we are looking for a Consultant Ivalua Source-to-Contract
Project description:

  • The project will implement the Ivalua modules Souring, Contracts, and Supplier Management within the client Procurement organization, following the existing specific Source-to-Contract processes. Depending on implementation progress the modules Program Management, Issues Management & Collaboration Plans will be implemented as well. The implementation will cover all countries within the functionally steered procurement organization: Germany, Netherlands, Sweden, UK.

Background to the assignment:

  • To manage the project dependencies on the client side (staff, deliverables, needed decisions, timeline) in relation to this implementation project, the client is looking for an external resource with project manager skills that has experience with these particular implementation projects at Procurement and is familiar with strategic sourcing tools like iValua and Ariba.

Tasks

  • Project planning, tracking, documentation in close coordination with our external implementation partner. This includes creating a project plan based on own experience and expertise and based on the specifics of this project which will be provided by the client in advance.
  • Execute project meetings
  • Coordinate engagements and decisions based on own expertise and based on in advance provided input from the client
  • Coordinate the sign off’s to be made by the client in context of this project within the (in advance) agreed implementation timelines. The implementation approach is a “functional lift & shift”, which is based on the existing Ariba Sourcing/Contract/SLP installation and its interface into SAP R/3 MM for supplier master data. However, the benefits of the Ivalua solution will be made available to the client Category Managers. Procurement is engaged within the implementation with the Sourcing, Contracts, and Supplier Management module owners, and local Procurement representatives.
  • As an essential part of the implementation, create the training concept for the Procurement organization. This includes developing and actually realizing such training concept as part of the project. Develop the concrete setup (frequency and participants) of the trainings within the project and create training material based on own expertise and input coming from the client.
  • Attend regular project (sprint) meetings
  • Track project execution (of the internal as well as by external implementation partner) against project timeline. Steer the project team to meet the timelines, escalate to client if necessary.
  • Prepare and discuss deliverables based on own expertise and input coming from stakeholders (in the meetings)
  • Coordinate decisions and sign off’s with respective (module) owners and other internal stakeholders. Timely handover to the external Implementation partner.
  • Prepare project steering board meetings
  • Steer the implementation with the goal of a full adoption of the implemented Ivalua modules by the Procurement Category Managers. To achieve this, management of change is a key success factor throughout the implementation and the full Procurement organization. For this, communicate and get information from Procurement and other relevant client departments (full list of stakeholders below).
  • Such project meetings will take place either during physical meetings (mostly expected to be held in Düsseldorf), online meetings with the respective colleagues from the above mentioned countries with the various identified stakeholders (either per email, phone or teams (chat) meetings. Risk management - identify and manage risks. Early detection of deviations from project plan, root cause analysis, management of deviations (?go to green?). Steer the project team in order to solve the devotions or escalate to client when deemed necessary by the consultant.
  • Supplier management (our external implementation partner and our software vendors).

  • Core Project team at client, consistent of the Module owners (3 FTE)
  • Chief Procurement Officer
  • Head of Procurement Solutions
  • Head of Procurement Management
  • Head of Digital Solutions
  • Lead Procurement Solutions Excellence
  • Head of Performance & Culture, Deputy head of P & C
  • Nominated “key users” from various teams (nominated to be involved in particular aspects of the implementation project (e.g. certain module, add-on, Interface, roll out strategy, training)
  • Respective assigned Country coordinators at Procurement

2) Client IT:

  • IT (responsible IT team from Corporate IT department

3)External parties:

  • Implementation partner (already selected by client)
  • Vendor for SaaS Strategic Procurement tool (already selected by client)

Further info:

  • Meetings per default will take place online and are complemented by larger onsite meetings (mostly in Düsseldorf).
  • Document the implementation planning, status, risk management within a dedicated Microsoft Teams team. Further standard O365 tools are used. The documentation created is the base for the definition of the Agile sprints in the relevant dedicated meetings as well as for the milestone evaluation.

Must haves:
1)Technical/Process Skills:

  • Experience from other Ivalua Source-to-Contract implementations. (Ivalua modules that we will use (Ivalua Platform, Sourcing, Contract Management, Supplier Risk & Performance; Optional: Program Management, Issues Management & Collaboration Plans).
  • Source-to-Contract process.

Project Management/Soft Skills:

  • Agile project management.
  • Stakeholder management up to CPO level.
  • Cooperative can-do attitude.
  • Very good verbal and written (PPT & O365) communication skills in English
  • Understanding of working in a multi-national company and utilities environment (local requirements (language, legal, …), audit/compliance, works council, data protection, ...).
  • Understanding of standards while taking into account local (DE/NL/SE/UK) and specific Procurement department needs.

Nice to have:

  • SAP MM and Ariba Sourcing/Contracts/SLP basic knowledge (preferably).
  • Good verbal and written communication skills in German

Start: ASAP
Duration: Till 31.03.2025
Location: hybrid with frequent on-site presence on Tuesday and potentially Wednesday in our Düsseldorf office for project meetings - not regular every week
Capacity: 40h/week
